User Notifications

The Background Posting Scheduler can be configured to generate notifications when processes are run. Notifications are sent when the process completes. By default notifications are automatically sent to the user who starts the process. You can configure a number of settings to determine the other users that notifications are sent to.

User notifications sent by the Background Posting Scheduler are controlled by the following custom settings.

Accounting Settings Chatter Notifications

These settings determine the notifications that are sent by processes in Accounting and override all other settings.

If you want to disable notifications from the Background Posting Scheduler you must disable these settings.

To disable email notifications you must also disable the Generate BPS Email Notifications setting.

Email Notifications

Task Notifications

Generate BPS Email Notifications Indicates that email notifications are sent when the BPS runs. When posting documents the email is sent to the user who posted the document, but for some processes the email is sent to the user who started the BPS. By default this checkbox is selected. Note that the Chatter Notification, Email Notification, and Task Notification custom settings override this setting. So if you want to disable BPS email notifications you must disable the others as well.
Notification on Objects This setting is only used by the Background Posting Scheduler. If you have users in your org that you want to receive notifications when documents are posted, you can enter a list of user emails. Users will receive email, task, or Chatter notifications.
Background Posting Settings Use Detailed Monitoring Specifies the level of monitoring used by the Background Posting Scheduler. The level of monitoring determines the information included in notifications. By default, the Background Posting Scheduler uses Detailed Monitoring.
  User Group Notification Used with the Use Detail Monitoring field to determine which users receive notifications. By default this field is set to True.

Certinia recommend that User Group Notification is enabled when Use Detailed Monitoring is enabled.

Notification Details

The details contained in the user notifications depend on whether Use Detailed Monitoring is enabled.

Detailed Monitoring

If detailed monitoring is enabled, users receive notifications that contain details of the process, including a link to the process run record. Process logs are generated by detailed monitoring. These contain additional information about the process that can be used to investigate and fix any errors.

Additionally, the notifications received when using detailed monitoring are affected by the User Group Notification setting. If this is not enabled, the user that starts the background process will only receive notifications if a process completes with errors.

Simple Monitoring

If Use Detailed Monitoring is not enabled, simple monitoring is used. Notifications only contain information that a process has completed. Process logs are not generated by simple monitoring, so if a process completes with errors, users will not have this information available to investigate and fix errors.

Notification Recipients

If Detailed Monitoring and User Group Notification are enabled:

  • The user who starts the process receives notifications if the process completes with errors, or for any documents that were set to "Ready To Post" by that user.
  • Users that set the documents to "Ready To Post" receive notifications for their documents when the process completes.
  • Other users, whose email addresses are specified in the Notification on Objects custom setting, receive notifications when the process completes.

If Detailed Monitoring is enabled and User Group Notification is not enabled:

  • The user who starts the process only receives notifications when the process completes with errors.
  • Users that set the documents to "Ready to Post" do not receive notifications.
  • Other users, whose email addresses are specified in the Notification on Objects custom setting, receive notifications when the process is complete.

If Simple Monitoring is being used, the following notifications are sent , regardless of the User Group Notification setting:

  • The user that started the process receives notifications when the process completes.
  • Users that set the documents to "Ready to Post" do not receive notifications.
  • Other users, whose email addresses are specified in the Notification on Objects custom setting, receive notifications when the process completes.
